Refund and Cancellation Policy

At Dr. Suresh Babu – Laparoscopy & Laser Surgeons, we strive to provide transparent, fair, and patient-friendly policies. This Refund & Cancellation Policy explains how appointment fees, online consultation charges, and surgical advance payments are handled.

1. Consultation Fees (Clinic & Online)

1.1 Non-Refundable Fees
  • All consultation fees (online or in-clinic) are non-refundable once the booking is confirmed.
  • This includes missed appointments, late arrivals, or inability to join the video call.
1.2 Rescheduling Eligibility

Patients may request one free reschedule, provided:

  • The request is made at least 24 hours before the scheduled appointment.
  • A new slot is available.

If rescheduling is requested within 24 hours or after missing the appointment:

  • A new consultation fee must be paid.

2. Online Consultation Payments

2.1 Payment Confirmation

An online consultation slot is only confirmed after:

  • Full payment
  • Successful transaction confirmation
2.2 Link Delivery
  • The video meeting link will be sent 24 hours before the consultation.
  • Patients must join at least 10–15 minutes early.
2.3 Failed or Delayed Payments

If payment fails or is delayed by the bank:

  • The appointment will not be confirmed until payment is visible on our end.

3. Surgery Bookings & Advance Payments

3.1 Booking Advance

To secure a surgery date, patients must pay an advance booking amount.

3.2 Refund Eligibility

The surgical advance is refundable only if canceled before 72 hours of the scheduled surgery date.

3.3 Non-Refundable Conditions

Advance payments become non-refundable if:

  • Cancellation is made within 72 hours of surgery
  • The patient misses pre-operative instructions
  • The patient does not appear on the surgery date
  • Surgery is postponed due to inaccurate medical information provided by the patient
3.4 Emergency Situations

In genuine medical emergencies or unavoidable circumstances:

  • Refunds or partial refunds may be considered
  • Approval will be at the discretion of the clinic management

4. Procedure Fees, Tests, and Additional Charges

4.1 Pre-Operative Investigations

Diagnostic tests, blood reports, or imaging done at partner labs/hospitals:

  • Are non-refundable, regardless of surgery cancellations.
4.2 Procedure Fees

Once surgery/treatment has commenced:

  • No refunds will be issued.

5. No-Show Policy

5.1 Clinic No-Shows

If the patient does not arrive for their confirmed clinic appointment:

  • The consultation fee is forfeited.
5.2 Online No-Shows

If the patient does not join the video consultation session:

  • No refund or reschedule will be provided.

6. Duplicate, Wrong, or Failed Transactions

If a patient is charged twice or is mistakenly charged:

  • The extra amount will be refunded after verification.
  • Refunds will be processed within 3–7 business days.

If payment fails but the amount is deducted:

  • The issue must be taken up with the bank/UPI provider.
  • We will assist by providing transaction logs if required.

7. How Refunds Are Processed

7.1 Refund Method

Refunds, when approved, will be sent via:

  • Same payment method used originally (UPI, card, net banking)
  • Or clinic bank transfer in certain cases
7.2 Refund Processing Time
  • Typically completed within 3–7 working days
  • International cards or third-party gateways may take longer
7.3 Documentation

For certain refunds, patients may be asked to provide:

  • Payment screenshot
  • ID proof
  • Bank details
  • Transaction reference number

8. Doctor or Clinic-Initiated Cancellations

8.1 Clinic Cancellations

If the clinic needs to cancel or reschedule due to:

  • Medical emergencies
  • Surgeon unavailability
  • Facility issues

Patients may choose:

  • Full refund
  • Free reschedule
  • Priority appointment at the next available slot
8.2 Surgery Postponement by Clinic

If surgery is postponed by the clinic:

  • The advance payment remains fully valid
  • Patient can reschedule without extra charges
