Refund and Cancellation Policy

At Dr. D. Suresh Babu – Laparoscopy & Laser Surgeons, we are committed to transparent, fair, and patient-friendly policies. This Refund & Cancellation Policy explains how consultation fees, online consultation payments, and surgery-related advances are handled across our clinic, hospital partners, and digital platforms in India.

1. Consultation Fees (Clinic & Online)

1.1 Non-Refundable Consultation Fees

  • Consultation fees (in-clinic or online) are non-refundable once the appointment is confirmed.
  • This applies to missed appointments, late arrivals, or inability to attend the scheduled session.

1.2 Scope of Consultation

  • Consultation fees cover professional time, medical assessment, and advice provided by the doctor.
  • Prescriptions, investigations, procedures, or treatments (if advised) are billed separately.

2. Rescheduling Rules

2.1 Free Reschedule (One Time)

Patients may request one complimentary reschedule if:

  • The request is made at least 24 hours before the scheduled appointment, and
  • An alternative slot is available.

2.2 Late or Missed Reschedule Requests

  • Reschedule requests made within 24 hours of the appointment or after a missed appointment will require payment of a new consultation fee.

3. Online Consultation Payments

3.1 Appointment Confirmation

  • Online consultation slots are confirmed only after full payment and successful transaction confirmation.

3.2 Access & Timings

  • The consultation link or access details are shared prior to the appointment.
  • Patients are advised to join 10–15 minutes early to avoid technical delays.

3.3 Failed or Delayed Transactions

  • If a payment fails or is delayed by the bank/UPI provider, the appointment remains unconfirmed until the payment reflects on our system.

4. Surgery Bookings & Advance Payments

4.1 Booking Advance

  • To reserve a surgery date, an advance payment is required. This helps allocate operating theatre time, medical staff, and hospital resources.

4.2 Refund Eligibility for Surgery Advance

  • Surgery advances are refundable if cancellation is requested at least 72 hours before the scheduled surgery date.

4.3 Non-Refundable Situations

The surgery advance becomes non-refundable if:

  • Cancellation is made within 72 hours of the surgery,
  • The patient does not follow pre-operative instructions,
  • The patient does not report on the scheduled surgery date, or
  • Surgery is postponed due to incomplete or inaccurate medical information provided by the patient.

5. Emergency & Exceptional Cases

  • In genuine medical emergencies or unavoidable circumstances, refunds or partial refunds may be considered.
  • Such cases are reviewed individually and approved at the discretion of clinic management, based on available medical documentation.

6. No-Show Policy

6.1 Clinic Appointments

  • If a patient does not attend a confirmed clinic appointment, the consultation fee is forfeited.

6.2 Online Consultations

  • If a patient fails to join the online consultation at the scheduled time, no refund or reschedule will be provided.

7. Duplicate / Failed Transactions

7.1 Duplicate or Excess Charges

  • If a patient is charged more than once for the same service, the excess amount will be refunded after verification.

7.2 Failed Payments with Amount Debited

  • If a payment fails but the amount is debited, patients should first contact their bank or UPI provider.
  • We will assist by providing transaction details or confirmation logs if required.

8. Refund Processing Method & Timelines

8.1 Mode of Refund

  • Approved refunds are processed via the original payment method (UPI, debit/credit card, net banking).
  • In select cases, refunds may be issued through bank transfer.

8.2 Processing Time

  • Refunds are typically completed within 3–7 working days.
  • International cards or third-party payment gateways may take additional time as per their policies.

8.3 Required Details

Patients may be asked to share:

  • Payment receipt or screenshot
  • Transaction reference number
  • Basic identification or bank details (if applicable)

9. Doctor or Clinic-Initiated Cancellations

9.1 Appointment Cancellations by Clinic

If an appointment is cancelled or rescheduled due to medical emergencies, surgeon unavailability, or facility issues, patients may choose:

  • A full refund, or
  • A free reschedule, or
  • A priority appointment at the next available slot.

9.2 Surgery Postponement by Clinic

  • If surgery is postponed by the clinic or hospital, the advance payment remains fully valid and can be rescheduled without additional charges.
